This policy explains when and how course fees paid to WinSYS City Campus may be refunded. It applies alongside our Terms & Conditions. Specific windows and amounts below are our standard policy; always refer to your enrolment agreement for anything specific to your programme.
1. Registration / application fee
Where a separate, one-time registration or application fee applies, it is non-refundable once your place has been processed, as it covers administrative processing regardless of the outcome.
2. Withdrawal before the course starts
- 14 or more days before the start date: full refund of course fees paid, less the registration fee (if any).
- Less than 14 days before the start date: 50% refund of course fees paid, less the registration fee.
3. Withdrawal after the course starts
Once teaching has begun, course fees are non-refundable, except where clause 5 (exceptional circumstances) applies. Depending on how much of the programme remains, we may instead offer a transfer to a later intake at our discretion โ see clause 6.
4. Non-refundable items
Examination or certification fees already paid to a third-party awarding body (for example Qualifi, Cisco, EC-Council, ISACA, (ISC)ยฒ, CompTIA, Microsoft, AWS, LPI or Red Hat), physical materials already issued, and ID cards are non-refundable once processed, as these costs are incurred on your behalf and are not recoverable by us.
5. Exceptional circumstances
We consider full or partial refunds outside the standard windows above on a case-by-case, documented basis โ for example serious illness, a medical emergency, or (for international applicants) a visa refusal that prevents you from attending. Please provide supporting documentation with your request.
6. Course transfer or deferral
Instead of a refund, you may request to defer your place to a later intake of the same or an equivalent programme, subject to availability. A transfer does not incur the withdrawal deductions above, but a rescheduling administrative charge may apply.
7. If we cancel a course
If WinSYS City Campus cancels a programme or an intake before it starts (for example due to insufficient enrolment), you will receive a full refund of all fees paid for that programme, or the option to transfer to another programme of your choice.
8. How to request a refund
Submit a written request to our finance department (finance@winsys.lk) including your full name, student number, programme, reason for the request, and any supporting documents. We aim to acknowledge your request within 5 business days.
9. Processing time & method
Approved refunds are processed within 14โ21 business days, back to the original payment method where possible (for card/online payments via PayHere) or by bank transfer to an account in your name.
10. Disputes
If you disagree with a refund decision, you may escalate in writing to campus management for a final review.
